Western University is seeking a Registered Veterinary Technician (RVT) Project Coordinator who is responsible for project development and coordination associated with Veterinary Services projects and good laboratory practice (GLP). The Coordinator will also provide high level Registered Veterinary Technician/Registered Laboratory Animal Technician (RVT/RLAT) skills, including sick animal response. The incumbent will provide related administrative support, in conjunction with ACVS Veterinarians, to animal-based scientists associated with Western's Research Community.  The RVT-Project coordinator will schedule staff involved in projects and day-to-day operations, provide oversight and maintenance of ACVS's veterinary drugs and supplies inventories, oversee and schedule equipment and procedure spaces, and provide on-call and after-hours RVT/RLAT technical support.  The incumbent will support the development of Standard Operating Procedures (SOPs) and Work Instructions (WIs) relating to the Veterinary Services sub-team, participate in departmental and sub-team meetings, and support departmental teaching/training initiatives. Position Summary: The purpose of this position is to manage the overall business operations of Greenbank and Rideau Animal Hospitals.  Responsibilities include veterinary practice administration, business and operational planning, human resources administration and oversight including recruitment, compensation and benefits, employee development and employee relations; patient and client production/management, inventory control including product, supplies and equipment. Responsible for Information technology and facilities management including building and equipment maintenance, software and systems, housekeeping standards, safety and security. Also accountable for preparation of all business accounting processes, reports and transactions.
Responsibilities; Management of business operations throughout the business, including creation, implementation, and results.  Facilitation of all hospital functions to maximize efficiencies and maintain budget controls. Management of business financial/fiscal responsibilities of the hospital, and ancillary services (kennel, grooming, etc.) .Reviews and/or prepares all accounts payable and receivables. Reviews fee schedule for services and products and increases or changes as required. Management of all support staff either directly in consultation with Partners. Oversee the development and implementation of staff shift schedule. Develops and maintains Hospital policies and procedures. Management of the human resources function including the recruitment/selection,  compensation, payroll and benefits administration, performance management process, employee development and employee relations. Plans for optimal staffing to maximize productivity and service. Supervises support staff personnel and acts as the direct authority regarding disciplinary procedures, terminations and legal responsibilities of employment. Creates, maintains and updates employment policies and manual. Mediates all personnel problems, maintains employee motivation and development. Management of inventory and ordering processes and systems.  Management of facilities maintenance (i.e. facilities & grounds maintenance, equipment, etc.).  Oversees the building and equipment maintenance and housekeeping standards. Either directly prepares or supervises preparation of all business accounting reports and transactions. Audits financial/transactional performance to ensure proper techniques and methods are being used. Management of marketing and public relations campaigns and protocols. With Partners establishes key business metrics, reports on business performance. In consultation with Partners, establishes hospital budgets and growth projections. As part of the leadership team, establishes and implements short and long term business plans to ensure ongoing business success. Oversees and addresses health and safety requirements to ensure compliance and maintenance of a safe work environment.
Qualifications; Minimum University degree in business, animal science, accounting, marketing or other related program or equivalent education/experience. Certified Veterinary Practice Manager designation (CVPM) is an asset. Minimum of 5 yrs. experience in a practice management or similar leadership position with a Veterinary Hospital or equivalent business environment. Resourceful with excellent time management skills. Detail oriented, with demonstrated ability to show initiative and an excellent sense of customer service standards. Proven supervisory and leadership experience. Demonstrated experience in developing hospital and human resources policies. Strong financial acumen including reporting and data analysis. Problem solving and conflict management skills. Excellent oral and written communication skills. Strong computer skills (Microsoft Office, Email, and practice management software knowledge preferred). Adaptable with a proven ability to multi-task, set priorities and deliver results.Effective team player with the ability to apply the specialized principles and practices of veterinary practice management in directing the daily operation of the practice, thereby allowing the practitioners the time necessary to carry out their profession. Well-versed in business and accounting principles and knowledgeable about veterinary medicine and clinical best practices. Knowledge of proven principles and processes for providing exceptional client and personal services. This includes client needs assessment, meeting quality standards for services, and evaluation of client satisfaction. Ability to show unbiased judgment when managing people and make fair and just recommendations in regards to personnel issues and/or disciplinary action.
